Please review the following questions before submitting your documents for upload.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">1. Consider a Webpage Instead of a PDF<\/h3>\n\n\n\n<p>In many cases, turning your document into a webpage is a better choice. Webpages are easier to update, automatically meet most accessibility standards, and don\u2019t take up as much storage space as PDFs. They also work better on phones and tablets.<\/p>\n\n\n\n<p>If your content could be displayed as a webpage rather than a downloadable file, <a href=\"https:\/\/utc.teamdynamix.com\/TDClient\/2717\/Portal\/Requests\/ServiceDet?ID=50657\">submit a webpage request here<\/a> and our team will be happy to help you make the conversion.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">2. Confirm That Your Document Is for Public Use<\/h3>\n\n\n\n<p>Before uploading, make sure your PDF is meant to be shared publicly. Only materials that inform or serve the general public should be published on departmental websites.<\/p>\n\n\n\n<p>Examples of documents appropriate for public upload:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Public reports, policies, or official statements<\/li>\n\n\n\n<li>Public-facing forms, guides, or instructions<\/li>\n\n\n\n<li>Research summaries or outreach materials<\/li>\n\n\n\n<li>Student and community resources<\/li>\n<\/ul>\n\n\n\n<p>Documents that should not be uploaded to the public site:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Course syllabi or classroom materials<\/li>\n\n\n\n<li>Faculty or staff CVs\/resumes. (<a href=\"https:\/\/utc.teamdynamix.com\/TDClient\/3229\/Portal\/KB\/ArticleDet?ID=162614\">Digital Measures<\/a> is the best solution for faculty biographies and can be displayed on the website&nbsp;<a href=\"https:\/\/utc.teamdynamix.com\/TDClient\/2717\/Portal\/Requests\/ServiceDet?ID=52059\">by request<\/a>.)<\/li>\n\n\n\n<li>Internal memos, drafts, or meeting notes<\/li>\n\n\n\n<li>Documents intended for limited audiences (e.g., committees, student organizations, classroom documents, departmental documents, etc.)<\/li>\n\n\n\n<li>Event flyers and announcements. Please use the <a href=\"https:\/\/www.utc.edu\/communications-and-marketing\/web\/utc-events-calendar-faqs\">UTC events calendar service<\/a> to ensure that past events are not displayed on the website.<\/li>\n<\/ul>\n\n\n\n<p>If a document serves an internal purpose, please share it through internal systems such as SharePoint, Canvas, or email instead of a public webpage.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">3. Ensure Your PDF Meets Accessibility Standards<\/h3>\n\n\n\n<p>All PDFs published on the UTC website must meet federal accessibility requirements. Under the U.S. Department of Justice (DOJ) and ADA Title II, electronic documents\u2014such as PDFs\u2014must comply with WCAG 2.1 Level AA standards.<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><a href=\"https:\/\/blog.utc.edu\/web-kb\/\">Learn more about the DOJ Accessibility Mandate<\/a><\/li>\n\n\n\n<li><a href=\"https:\/\/blog.utc.edu\/web-kb\/2025\/10\/08\/accessibility-video-resources-for-pdfs-word-documents-and-indesign\">View our guide on creating accessible PDFs<\/a><\/li>\n<\/ul>\n\n\n\n<p>Accessibility ensures everyone\u2014including people using assistive technology\u2014can read and interact with your content. Documents that do not meet these standards may be delayed or returned for revision.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">4. Replace Old or Outdated PDFs<\/h3>\n\n\n\n<p>To keep content relevant and avoid confusion, please include links to any older PDFs that your new document replaces. Google indexes and displays PDFs in search results, which means outdated versions may still appear even after you\u2019ve uploaded an update. Removing old files helps users find the most accurate, up-to-date information and keeps our storage costs low.&nbsp;<br><br>NOTE: Be sure to let a web team member know to remove from Google search if it is urgent. Otherwise, it can take up to two weeks after a document is removed for Google to take care of business.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">5. Optimize Your File Size<\/h3>\n\n\n\n<p>Optimized PDFs load faster, save storage space, and are easier for everyone to access\u2014especially on mobile devices. Large, uncompressed files can slow down your page, frustrate users, and hurt search rankings.
